Privacy Policy

This Policy explains how SK Health Technologies LLC, doing business as EarFill (“EarFill,” “we,” “our,” or “us”), collects, uses, discloses, and protects personal information when you visit earfill.com, use app.earfill.com, request a demo or trial, communicate with us, or use our services for a clinic.

1. Scope and HIPAA

This Policy does not replace a clinic’s privacy notice. When EarFill handles protected health information (“PHI”) as a business associate for a clinic, the clinic’s instructions and its Business Associate Agreement (“BAA”) with EarFill govern that processing. Patients should direct requests about medical records to their clinic; EarFill will assist the clinic as required by the BAA and applicable law.

2. Information we collect

• Contact and account information: name, work email, phone number, organization, title, login, and security information.
• Clinic and transaction information: practice details, authorized users, plan, and billing metadata. Stripe processes payment card details; EarFill does not store full card numbers.
• Service data: information submitted by a clinic or user, payer call recordings and transcripts, verification and claim information, support messages, and service activity. This may include PHI.
• Device and usage information: IP address, browser and device type, pages viewed, referring URL, timestamps, logs, cookies, and similar identifiers.
• Marketing information: preferences, campaign attribution, demo or trial activity, and interactions with communications.

We collect information from you, your organization and its users, your device, payers and partners involved in a requested workflow, and public or commercial business sources.

3. How we use information

We use information to provide, support, secure, and improve EarFill; authenticate users and prevent abuse; perform requested payer and claims workflows; communicate about accounts, trials, support, security, and service changes; process billing; comply with law and enforce agreements; analyze performance; and, where permitted, market EarFill. We may use de-identified or aggregated information for analytics, security, and improvement and do not attempt to re-identify it.

4. How we disclose information

We disclose information as reasonably needed to providers that host, secure, support, analyze, bill for, or communicate about EarFill; to payers and recipients involved in a workflow your clinic requests; to professional advisers; during a business transaction; to comply with law or protect rights and safety; or at your direction. Recipients are limited to the applicable purpose and subject to contractual or legal protections where required.

We do not sell personal information for money. The public site uses Vercel Analytics and may use Meta Pixel to measure visits and advertising. Those tools may receive device and public-site activity data, which some state laws call “sharing,” “targeted advertising,” or a “sale.” Advertising pixels do not run on authenticated application pages containing PHI, and we do not send patient, insurance, verification-content, name, email, phone, or practice details to Meta.

6. Cookies and choices

We use necessary cookies for authentication and security. Public pages may use analytics and advertising cookies. You can restrict cookies in your browser and may email us to opt out of marketing or certain targeted-advertising uses.

7. Retention and security

We retain information as long as needed to provide the service, satisfy the applicable contract, keep legal and audit records, resolve disputes, and protect the service. The period varies by information and purpose. We use administrative, technical, and physical safeguards designed to protect information, including encryption in transit and at rest. No system can guarantee absolute security.

8. Your privacy rights

Depending on where you live and subject to legal exceptions, you may have rights to know, access, correct, delete, or obtain a copy of personal information, and to opt out of certain sales, sharing, targeted advertising, or profiling. You may also appeal a denied request. Email us to submit a request. We may verify your identity and authority. We will not discriminate against you for exercising an applicable right.

9. Children and United States processing

EarFill is a business service and is not directed to children under 13. We do not knowingly collect personal information directly from children through the public site. EarFill operates and stores information in the United States. If you use the service elsewhere, your information will be processed in the United States.

We may update this Policy and will post the new version and effective date here, with additional notice for material changes when appropriate.
